When is the best time to apply for my Zambia visa?
The best time to apply for your Zambia visa is 1-2 months before your travel date.

Do I have to send you my passport to get a Zambia visa? Is it safe to send a passport?
Yes. You will need to send your actual passport, not a copy of it. The Zambia visa is stamped on your passport and will become one of your passport pages. Visa request cannot be processed without your original passport. Because of the importance of your passport, we strongly suggest that you send your application in a secure way, using a traceable courier such as FedEx, UPS, Express Mail or Certified Mail.

Sample of the Business Travel Requirements for a Zambia Visa for US Citizens

  1. Passport

    You must provide your actual signed passport, including one copy of the personal information page of your passport. Your passport must:

    • Be valid for the next six months
    • Have at least one blank visa page (amendments and endorsement pages cannot be used to fulfill this requirement)
    • Not be frayed, torn, separating, or altered in any other way

  2. Photographs

    You must provide two color, passport-type photographs. The photographs must:

    • Be printed on photo paper
    • Be two inches by two inches
    • Be signed on the back
    • Have a white background
    • Have been taken within the last six months

  3. Business Introduction Letter

    A letter of introduction from your US-based company is required. Your completed introduction letter must:

    • Be printed on your company’s official letterhead
    • Display your full name, nationality, and job title
    • Display your company’s US address
    • Specify the exact purpose of your trip
    • Specify the number of entries requested and the length of each stay
    • Include your specific entry and exit dates
    • Include the validity of your requested visa
    • Be signed by your supervisor or your company’s Human Resources department
    Included in this kit is a sample Business Introduction Letter for your reference.  Please use the exact language found in the sample when completing your own business introduction letter and include any special requirements listed above.

  4. Visa Application Form

    You must provide two fully completed visa application forms. The application forms must:

    • Include answers for all fields
    • Display your full name as it appears in your passport
    • Be signed

  5. Invitation Letter

    You must obtain a letter of invitation. The organization you will be visiting is responsible for obtaining the invitation. A copy is acceptable. This letter must:

    • Be written on company letterhead
    • Include the full local address and phone number of the organization or person to be visited
    • Request the same validity of visa as in the Business Introduction Letter.
    • Specify the number of entries you are requesting for your visa

  6. Proof of Travel Arrangements

    You must provide proof of travel arrangements for the duration of your trip.  Details of your intended arrangements must:

    • Include a copy of an itinerary or e-ticket showing entry and exit dates
    • Show the traveler's full name (as printed in his or her passport)

  7. VisaCentral Order Form

    You must provide one completed VisaCentral Order Form. The form must:

    • Include a valid email address and payment information
    • Include your signature in blue or black ink

  8. Photocopy of All Application Materials

    You must provide photocopies of all items that you submit to VisaCentral. Your photocopies must be provided along with the original version of each document. If you prefer that VisaCentral make photocopies for you, additional fees will be applied to your order. We recommend that you retain a copy of all items that you submit for your own records. Any documents that are specifically addressed to the consulate will not be returned to you.

  9. Certain Travelers

    If you are traveling on church business, or for a seminar, as a volunteer, you must provide a cover letter specifying in brief detail the nature of your intended business transactions in Zambia and a copy of work permit from your authorizing sponsor or prospective employers (if applicable). 

  10. Health Requirements

    • An anti-Malaria Dosage is strongly recommended two week prior to arrival in Zambia
    • Yellow Fever vaccination is not required unless entering Zambia from a Yellow Fever infected country. For complete and updated listing of infected countries refer to World Health Organization (WHO) listing
